Duties:

•Ensures the ambient working environment of the Division



•Performs all secretarial duties for the Division Manager

•Manages contacts and appointment diary of the Division Manager

•Organises meetings, trainings for Division Managers and clients

•Follows-up appointments: via posts, phones and emails

•Attends and represents the Division Manager in external meetings

•Ensures HR policy & procedural compliance by staff within the division

•Organises events that involve both international and local relations

•Prepares immigration documents for Visas & visiting Expatriates

•Arranges local and overseas travels for both Expatriates and local staff

•Makes hotel reservations for visiting Expatriates and driver for pick-ups

•Ensures the effectiveness of the equipment in the Division and calling for repairs when necessary

•Prepares proposals and responds to enquiries from customers

•Produces and maintains a bank of branch data and information

•Acts as an interface between the Head office and the branches, liaises with Branch Managers regarding issues and matters concerning branches & sales.

•Prepares & retrieves Division Manager’s official expenditure & Claims

•Compiles weekly/monthly/quarterly sales report from the branches and forward same to the Group Head/MD

•Dealing with vendors, suppliers and contractors in professional manner

•Manages the petty cash reimbursement and disbursement

•Arranges entertainment for events - Dinners, send-forth, staff parties, etc.
